THE ROLE
We’re looking for a highly capable and infinitely resourceful Administrative Assistant who enjoys the excitement and challenges of building a new business while positively impacting the world.
Candidates should be highly organized, self-starters who enjoy working as a team and are energized by a fast-paced environment.
The Administrative Assistant’s primary responsibility will be to support executives, engineers, sales, education, and support staff.
They will also be responsible for assisting with projects, course preparation, and shipping coordination.
Each member of our team needs to be comfortable utilizing dental technology and implementing the best workflows available to improve patient care.
We believe in granting the greatest level of autonomy appropriate, while working in a coordinated manner to achieve our organizational goals.
_*Duties:*_
* *Managing Communication*: This includes responding to emails, and handling correspondence on behalf of the organization or executives.
* *Scheduling and Calendar Managemen*t: Schedule meetings, appointments, and events, as well as manage calendars for executives or team members.
* *Office Organization*: Maintain office supplies, manage filing systems (both physical and digital), and keep the workspace organized and efficient.
* *Data Entry and Record Keeping*: Enter data into databases, maintain records, and ensure information is accurate and up to date.
* *Assisting with Projects*: Provide support for various projects, such as preparing documents, conducting research, and coordinating with team members.
* *Customer Service*: Assist Sales & Shipping with order fulfillment.
* *Financial and Accounting Support*: Assist with basic financial tasks such as processing expenses, invoicing, and budget tracking.
* *Tech Support*: Liaise with IT Vendor to basic provide basic technical support, such as troubleshooting office equipment and assisting with software applications.
* *Assisting with HR Tasks*: Assist with onboarding new employees, maintaining employee records, and HR-related paperwork.
* Other duties as assigned by your supervisor.
_*Knowledge & Skills Required *_
* Bachelor’s Degree or Equivalent
* Minimum 5 years of experience
* Comfortable working with dental professionals as well as sales, marketing, and engineering teams
* Excellent troubleshooting skills
* Excellent organizational skills with the ability to prioritize tasks effectively
* Attention to detail and accuracy in data entry tasks
* Team player with excellent communication skills, including written and verbal
* Willingness to travel as needed
* Experience with Microsoft Office products
* Start-up experience preferred
