Project Coordinator - Payroll and Travel
Location: Redstone Arsenal, Huntsville, AL
Duration: 6 month contract-to-hire
Pay: $70,000-$90,000 - benefits NOT included during 6 month contract portion
Clearance: No active clearance required, must be US Citizen and have the ability to obtain a Secret clearance if needed
Description:
We are currently seeking a dynamic and detail-oriented Payroll Specialist / Project Controller to join our company.
The ideal candidate will be responsible for handling all aspects related to payroll processing and project control.
As a Travel Specialist, you will be responsible for directing, administering, and monitoring the travel policies and guidelines for each contract of the company.
Tasks include:
Preparing/updating travel instructions and policies,
Tracking travel for each employee,
Reviewing and approving travel request & travel expense reports.
Responsibilities:
Ability to learn different types of timekeeping systems to comply with customer
requirements.
Processing multi-state payroll in a timely and accurate manner using Deltek GCS.
Reviewing weekly & bi-weekly timesheets for accuracy across entire company.
Managing/Reconciling dual timesheets on specific contracts.
Preparing and maintaining accurate records and reports of payroll transactions.
Investigating and resolving payroll discrepancies and irregularities.
Responding to employee inquiries regarding payroll issues or concerns.
Ensure company policies that relate to timekeeping, payroll, and taxes are followed.
Participating in annual audits related to payroll and timekeeping.
Updating payroll processes and procedures as necessary to streamline payroll.
Calculating and deducting appropriate amounts from payroll, including tax withholdings,
benefits, and other deductions.
Ensuring compliance with federal, state, and local payroll tax laws and best practices.
Processing all bi-weekly, monthly, quarterly, and annual withholding and Unemployment
(SUTA) taxes for each state.
Reconcile & submit all annual W2s for each state.
Staying updated with changes in tax and deduction laws that apply to the payroll
process.
Manage the company Fidelity 401K plan by reviewing changes and uploading payroll
transactions; ensure employee 401K loans are processed via payroll.
Support annual 401k audits & assessments
Submit wires for funding of Pension Plan
Oversee project control for specific contracts to ensure necessary funding available
Process Travel Reimbursements to include reconciling receipts for accuracy and
compliance with government JTR (Joint Travel Regulations).
Collaborate with other departments to provide financial insights and support decision-
making
Prepare/update travel instructions and policies
Track travel for each employee
Review and approve travel requests & travel expense reports
Minimum Qualifications:
A minimum of 4-6 years of experience in payroll processing.
Bachelor's degree in Finance, Accounting, or a related field is preferred
Strong knowledge of payroll and accounting principles, and payroll methods
Strong knowledge of Department of Labor regulations, and federal and state tax
regulations required.
Proficiency in Deltek GCS or a similar payroll processing system.
Proficient in Microsoft Office to include Word, Excel, PDF, and Access
Strong problem-solving abilities and capable to work under tight deadlines.
Excellent communication and interpersonal skills.
Able to handle financial information with discretion.
Experience with Government Travel to include knowledge of JTR (Joint Travel Regulations) guidelines.
Candidate must be a U.
S.
Citizen.
A secret clearance is not required; however, candidate must
be able to pass a background check.
This is a full-time 40-hour week Monday through Friday
position located in Huntsville, AL.
